Privacy Policy

Last updated: September 18, 2026 · Turnout Ops

1. Who we are

Turnout Ops is a multi-tenant operations product for fire departments, operated by Ethyn Birch (“we”, “us”), based in Eddington, Maine. Privacy questions: support@turnoutops.com. Sales: sales@turnoutops.com.

2. Scope

This policy describes how we collect, use, store, and share information when you use the Turnout Ops website and web application, related APIs, and support or sales channels. You may create an account and a department self-serve, or we can help with optional setup. Joining an existing department is invite-based.

3. Data we collect

  • Account data: email, name, and authentication identifiers (via Supabase Auth; Google sign-in may be used when enabled).
  • Membership & roles: department affiliation and role (for example platform owner, department admin, officer, firefighter).
  • Operational content: information your department enters — such as call logs, roster/member records, apparatus, locations, settings, and related notes or imports. Do not store street addresses or other sensitive details you are not authorized to keep in the system.
  • Billing metadata: Stripe customer / subscription / invoice IDs and entitlement flags. Payment card data is handled by Stripe and is not stored by Turnout Ops.
  • Communications: emails and messages you send to support or sales (including via Google Workspace).
  • Technical logs: approximate IP address, user agent, and application logs used for security and debugging.

4. How we use data

  • Provide, maintain, and secure the service for your department
  • Enforce role-based access and module entitlements
  • Process subscriptions, invoices, and one-time services (via Stripe)
  • Respond to support and sales requests
  • Improve reliability and prevent abuse
  • Comply with law

5. Sharing

We may share data with:

  • Supabase — database, authentication, and related backend services
  • Vercel — application hosting
  • Stripe — payments, subscriptions, and invoices
  • Google Workspace — business email (for example support and sales) and related Google services when you use Google sign-in
  • Department admins and members — operational content visible within your department under access controls
  • Authorities when required by law

We do not sell personal information.

6. Retention

Account and operational data are retained while your department relationship is active. After cancellation or offboarding, we delete or anonymize department data within 60 days, unless a longer period is required for legal, security, dispute, or backup purposes. Stripe retains payment records according to Stripe’s policies. Backup copies may take additional time to fully clear.

7. Security

We use encrypted transport (HTTPS), department-scoped database access controls, and role-gated application routes. No method of transmission or storage is 100% secure. Report suspected incidents to support@turnoutops.com.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of personal data. Requests: support@turnoutops.com. Department admins can update much operational content in-app.

9. Children

Turnout Ops is intended for adult members of fire departments. We do not knowingly collect data from children under 16 (or the applicable age in your jurisdiction).

10. International transfers

Data may be processed in the United States or other regions where our service providers operate.

11. Changes

We may update this policy. We will change the “Last updated” date above and, for material changes, may notify department admins by email when practical.
